From Flyer to Calendar: How to Use AI to Remember Your Next Event

An AI Made Simple Guide by Y.S.S. Network · By Audris B. Torres

A flyer lands on your table. You set it aside. Two weeks later, the meeting has come and gone without you.

Sound familiar? Here's the fix. Snap a photo of the flyer, share it with ChatGPT or Claude, and let AI put the event on your calendar. You check the details. AI does the typing.

Setup takes 5 to 10 minutes, one time. After that, each event takes about two minutes.

You don't have to be a technology expert to make technology work for you.

What you need before you start

  • A phone or computer

  • A Google Calendar (free with any Gmail address)

  • A free ChatGPT or Claude account

Using Outlook or Apple Calendar? AI can still read the flyer for you. Then you save the details yourself, as shown in "No calendar connection?" below.

One-time setup, then four moves

Connect your calendar once. Then repeat these four moves for every event.

One-time setup: connect your calendar

  • ChatGPT: Open Settings, then Plugins or Apps. Find Google Calendar, select Connect, and sign in.

  • Claude: Open Customize, then Connectors. Find Google Calendar and connect your account. (Claude help center)

Read Google's permission screen before you approve. Menus vary by account, plan, and device, so yours may look a little different. If you can't connect, use the method under "No calendar connection?" below.

Four moves for every event

1. Find your event

Take a clear photo of the flyer with the date, time, and place in focus. A screenshot, email, or event link works too.

2. Ask AI for help

Open a new chat. Tap the plus sign (+) to attach the photo, paste the prompt below, and tap Send.

3. Check the details

Never skip this step. Compare what AI found to the flyer. If something is wrong, type the fix, such as "It starts at 6:30 PM, not 6:00."

4. Confirm and save

Type "Yes, save it." Then open Google Calendar and make sure the event and reminders are there.

Copy this prompt

Copy the words below, paste them into the chat with your flyer, and send.

Act as my scheduling assistant. Review this flyer and identify the event name, date, start time, end time, location, and registration link. Show me the details before creating anything. If information is missing, ask me instead of guessing. Once I confirm, add the event to my Google Calendar with reminders one day and one hour beforehand. Tell me when the event has been saved. If you cannot access my calendar, explain how I can add it myself.

This prompt follows the CRAFT Method we teach in AI Made Simple. You give the AI Context (the flyer), a Role (your scheduling assistant), an Audience (you), a Format (a list of details, then a calendar event), and a Tone (careful, asking before acting). You don't need to memorize CRAFT to use the prompt. It works as written.

Change the reminders to fit your needs:

  • "Remind me two days before so I can arrange a ride."

  • "Remind me the morning of the event."

  • "Add the parking details to the event notes."

Check these five details every time

AI tools make mistakes with dates and times. Your review is the most important step, and it takes less than a minute.

  • Date: Does the day of the week match the date? A flyer that says "Thursday, March 12" should land on a Thursday.

  • Start time: Is it AM or PM?

  • End time: If the flyer doesn't list one, the AI may guess. Fix it or remove it.

  • Location: Is the full street address there, or a meeting link for an online event?

  • Time zone: For an online event hosted in another state, confirm the time matches your time zone.

One more thing: Adding an event to your calendar does not sign you up. If the event asks you to register or RSVP, use the registration link to do so.

No calendar connection? Do this instead

You can still let the AI do the reading for you.

  1. Share your flyer and send this prompt: "Read this flyer and list the event name, date, start time, end time, address, and registration link. Put each detail on its own line."

  2. Open Google Calendar and tap the plus sign (+) to create a new event.

  3. Copy each detail from the AI's list into the matching box.

  4. Set your reminder and tap Save.

This method works on every free account and with any calendar, including Apple Calendar and Outlook.

Keep your information safe

A public event flyer is safe to share. The same goes for an invitation sent to a large group.

Keep these out of the chat:

  • Bank, credit card, or Social Security numbers

  • Medical details

  • Passwords

  • Private messages from other people

When you connect your calendar, Google shows you what the AI can see and change. Read the screen before you tap Allow. You can remove the connection at any time from your Google Account at myaccount.google.com/connections.

Try it today

Pick one flyer or invitation sitting on your table and put it on your calendar now. Once you've done it once, the next one takes two minutes.

Keep your information safe

Use public flyers or invitations you have permission to share. Do not enter passwords, payment details, Social Security numbers, private medical information, or someone else’s confidential messages. Review Google’s permission screen before you connect an AI tool.

A calendar appointment is not a registration. If an event requires an RSVP or ticket, use its official registration link separately.
